Reception works in it all day, housekeeping reads room status from it, and the owner reads the month's numbers from it. A channel manager and a booking engine are sales tools. One sends your rooms to Booking.com, Expedia and the other OTAs, the other sells them on your own website — and both depend on the PMS knowing exactly what is free. In HMS Flow the three are one system on one database, so a room sold anywhere disappears from every other channel as soon as the sale lands on the calendar. Because HMS Flow is a cloud-based hotel PMS, it runs in a web browser and in the Android and iOS apps. There is no server in the back office, nothing to install on each computer and no upgrade to buy later: you sign in wherever you are and see the same live data as the front desk. From the morning handover to the night audit — This is an ordinary day at a 30-room hotel running on HMS Flow. Every step happens on the same screen, and nothing is typed twice. - 07:30 Morning handover: The night audit closed yesterday by itself at midnight, so the date has already rolled over. The morning receptionist takes over the cash drawer from the night shift with its balance counted by payment method, and the dashboard lists today's arrivals, departures, dirty rooms and any booking still waiting for a room number. - 10:00 Check-outs and settling bills: The folio already holds the room nights and every extra posted during the stay — the minibar, the spa, the restaurant bill with its number. The guest pays by cash, card or bank transfer, or the balance moves to the travel agency's or company's account with a due date. The invoice prints on your own invoice layout. - 12:30 A phone booking from a returning guest: Type the guest's ID number and their details fill in from the last stay; a guest on your blacklist brings up a warning instead. If the dates cross into a new season, give each night its own price. The moment the booking is saved, the room is taken off every connected channel. - 14:00 A group arrives: A tour needing eleven rooms is entered as one group reservation: select the rooms together on the room rack and save them in one step, then register each guest individually as they reach the desk. - 15:00 Afternoon check-ins: Scan an ID card, passport or driving licence with the free scanner or the phone camera and the guest record fills itself in. For properties in Türkiye, check-in sends the police or gendarmerie (KBS) notification automatically, and with a connected hotspot the guest's Wi-Fi login becomes active in the same step. - 20:00 Restaurant and bar: Orders taken on the Adisyo restaurant POS are posted to the guest's room automatically. A visitor who is not staying is billed as an open sale, which can be moved onto a room's account later if a guest decides to pay for it. - 00:00 Night audit, with nobody at the keyboard: At midnight HMS Flow runs the end-of-day routine on its own. The morning team finds the day closed and the occupancy, revenue and cash reports ready to read — nobody has to stay late to close the day. Everything the front office needs, in one place: - Reservations and room rack: A monthly room rack — or several months side by side — where you drag to create, move or extend a stay. Enter quick, detailed, group and tentative reservations, colour them by channel or agency, block dates or take a room out of service, and see at a glance how many bookings still need a room. - Folios, cash desk and ledgers: Take a prepayment when the booking is made, then payments by cash, card, transfer, online payment or mail order, in more than one currency. Each user closes and hands over their own cash drawer, a live cash report splits takings by method and currency, and agencies and companies have their own accounts with due dates. - Rates, board types and restrictions: Price per room or per person with occupancy-based rates, attach board types and give each night of a stay its own price. Change prices, availability, minimum and maximum stay, close-to-arrival and stop-sell for a whole date range in one go, with refundable and non-refundable rates side by side. - Reports and night audit: More than 50 reports — forecast by room type, occupancy and capacity, revenue by board type, nationality, main courante, open balances, early departures, price changes, complimentary stays and deleted reservations — plus a sales dashboard with RevPAR. Every report exports to Excel or PDF, and the night audit runs by itself at midnight. - Extras, restaurant and invoicing: Post minibar, spa and restaurant charges to a room by outlet with the bill number, or bill a visitor who is not staying and move the bill to a room later. Adisyo restaurant orders reach the folio on their own. Invoices print on your own layout, purchase invoices update stock, and in Türkiye e-invoices go out through Paraşüt or Turkcell. - Users, permissions and audit trail: Add as many users and devices as you need and decide per person what each one can see and change. Allow sign-in only from the hotel's own IP address, trace every addition, change and deletion to a user and IP in the activity log, track staff commission, and switch between your properties without signing out. Why hotels move off spreadsheets and installed software (Spreadsheet or paper / Installed PMS / HMS Flow): - Work from any device, anywhere — Spreadsheet or paper: no; Installed PMS: Usually the reception PC only; HMS Flow: yes - OTAs updated the moment a room sells — Spreadsheet or paper: no; Installed PMS: Often a paid add-on; HMS Flow: yes - Night audit — Spreadsheet or paper: By hand; Installed PMS: By hand, at the desk; HMS Flow: Automatic at midnight - Backups — Spreadsheet or paper: Up to you; Installed PMS: On your own server; HMS Flow: Automatic, on our servers - Updates and new features — Spreadsheet or paper: no; Installed PMS: Paid upgrades, installed on site; HMS Flow: Included, nothing to install - Several people working at once — Spreadsheet or paper: One file, one editor; Installed PMS: Priced per licence; HMS Flow: Unlimited users - Up-front cost — Spreadsheet or paper: None; Installed PMS: Licence and hardware; HMS Flow: None — one yearly plan Built for the rules hotels in Türkiye work under: - KBS identity notification to the police or gendarmerie, sent automatically at check-in, room change and check-out - No EGM SEC mobile approval code needed to send notifications - Monthly accommodation statistics for the Ministry of Culture and Tourism in the required format - e-Invoice through the Paraşüt and Turkcell integrations - Guest Wi-Fi hotspot with 5651-compliant logging - Free ID and passport scanner that reads the document into the guest record Outside Türkiye? The guest list, nationality and main courante reports export to Excel or PDF, ready for whatever register your local authority asks you to keep. How moving from another system works: 1. We build your setup: Send us your room list and our team creates your room types, board types and rooms, so the calendar is ready the first time you sign in. 2. Bring your data: Guest and agency lists are imported from a spreadsheet or your old system's export instead of being typed in again. 3. Connect your channels: Our support team connects remotely and maps your rooms and rates on each OTA together with you. 4. Train the team: Training has no extra charge and no time limit, and technical support stays free and unlimited after you go live. FAQ: - Q: Can I move my existing reservations and guest data into HMS Flow? A: Yes. Room types, rates, forward bookings and guest profiles are imported during onboarding from a spreadsheet or from your previous system's export, so the calendar is already populated on the day you go live. Our team runs the import with you and checks the first weeks of arrivals line by line before you switch over. - Q: How many people can work in the PMS at the same time? A: As many as you need. Every plan includes unlimited user accounts with role-based permissions, so reception, housekeeping, accounting and management each see only what their job requires. Actions are recorded per user, which keeps shift handovers and end-of-day checks simple. - Q: What happens when a guest changes room in the middle of a stay? A: Drag the reservation to the new room on the calendar and the remaining nights are re-priced automatically. Both rooms take the correct housekeeping status straight away and the folio keeps the original and the new room, so the invoice still matches what the guest actually used. - Q: Does the PMS handle guest registration and ID reporting? A: Yes. Guest registration with police / ID (KBS) reporting is built in, and identity documents can be captured with a QR scan at the desk. The record is created as part of check-in instead of becoming a separate task at the end of the day. - Q: Which reports come with the front office? A: More than 50, covering occupancy and revenue by day, arrivals and departures, cancellations, channel production, guest folios and city ledger balances, taxes and forward forecasting. Every report can be filtered by date range and taken out of the system for your accountant. - Q: What is the difference between a PMS, a channel manager and a booking engine? A: The PMS runs the property itself — reservations, check-in, folios, invoices and reports. The channel manager publishes your rooms and rates on OTAs such as Booking.com and Expedia and brings their bookings back, while the booking engine sells rooms on your own website without commission. In HMS Flow all three share one live inventory, so they never disagree about what is free. - Q: Does HMS Flow run the night audit automatically? A: Yes. The end-of-day routine runs by itself every night at 00:00, so the business date rolls over and the daily reports are ready in the morning without anyone staying at the desk to close the day. Each user still closes and hands over their own cash drawer at the end of their shift. - Q: Can I run the PMS from a phone or tablet? A: Yes. The full system works in the browser of any phone, tablet or computer, and the HMS Flow apps for Android and iOS put the room plan, reservations, reports and ID scanning in your pocket. On Android a home-screen widget shows occupancy, today's check-ins and check-outs and room cleaning status without opening the app. - Q: How are travel agencies and companies billed? A: Each agency or company gets its own account. At check-out the guest's balance can be moved to that account with a due date, the invoice is issued to the agency or to the guest, and unpaid balances are followed in their own report until they are settled. - Q: Can restaurant, bar and minibar charges go to the room? A: Yes. Extras are posted to the folio by outlet with the bill number, so the guest sees one clear account at check-out. With the Adisyo restaurant POS, orders reach the room automatically, and a visitor who is not staying can be billed as an open sale and moved onto a room later. - Q: What happens if the hotel's internet connection goes down? A: HMS Flow is a cloud system, so it needs a connection — there is no offline mode. A phone's mobile data is enough to keep working: open HMS Flow in the phone's browser or app, or share the phone's connection with the reception computer. Your data stays safe on our servers whatever happens to the computers at the desk. - Q: Are there per-user or setup fees? A: No. HMS Flow is priced per property by room count and billed yearly, and the plan already covers unlimited users, setup and training. Adding a receptionist, a second computer or a phone never changes the price. ### Channel Manager Page: https://www.hmsflow.com/channel-manager Connect 40+ OTAs and travel agencies — Booking.com, Expedia, Airbnb, Agoda, Trip.com and more — to one pooled inventory. Rates, availability and restrictions sync in real time, so double bookings become a thing of the past. - Two-way XML connection with 40+ OTAs and agencies: Booking.com, Expedia, Airbnb, Agoda, Trip.com, TripAdvisor, Hotelbeds and more - Pool availability system so every channel sells from the exact same live inventory - Real-time rate, availability and restriction sync that ends double bookings - Bulk rate and stop-sell updates pushed to all channels in seconds - Minimum / maximum length-of-stay and seasonal restriction management - Per-room and per-person pricing with an automatic multi-currency converter - Cancellation and refund policy management for each channel - Instant, automatic reservation delivery into your PMS with SMS & email confirmations - iCal calendar sync for channels without a direct XML connection - Channel performance and production reports, with built-in HMS Rate integration Sell where your guests already book — HMS Flow exchanges rates, availability and reservations with each of these channels over a two-way XML connection or an iCal calendar feed. Our team maps your rooms and rates on every channel you choose, and new connections are added all the time. Connected channels: Booking.com, Expedia Group, Airbnb, Agoda, Etstur, OtelZ, Setur, Jolly, Tatilbudur, Odamax, OtelFiyat, Gezinomi, Inhores, Emerging Travel Group, Trip.com, Hotelbeds, Vrbo, Spain-Holiday.com, Bluepillow, goSeek, Travelocity, Vio.com, HomeAway, Owners Direct, FlipKey, BeMyGuest, BedandBreakfast.eu, 9flats, Wimdu, Waytostay, Only-apartments, Cities Reference, Hotel2Sejour, Homelidays, Rentalhomes, Toprural, HolidayLettings, HouseTrip. FAQ: - Q: How quickly does availability reach the channels after a sale? A: Within seconds. Every sale, cancellation or manual change is pushed to all connected channels over the two-way XML connection, and reservations coming from a channel drop straight into the PMS calendar with an SMS and email confirmation. Nobody has to close dates by hand anywhere. - Q: What is a pooled inventory and why does it matter? A: Every channel sells from one live count of rooms instead of from allocations you split between them. A 10-room hotel offers all 10 rooms on every channel, and the moment one sells anywhere the others drop to 9. You stop losing nights to allocations that never sold and you stop risking an overbooking. - Q: Can each channel have its own price? A: Yes. Every channel can carry its own rate plan, mark-up or discount, currency and cancellation policy, all derived from one base rate. Change the base rate once and each channel is updated with its own rules already applied. - Q: What about a channel that has no XML connection? A: Connect it with an iCal calendar feed. Availability is exchanged on the feed rather than live XML — not as fast as a direct connection, but enough to keep a small or regional channel from selling a room you have already given away. - Q: Does it support per-person pricing and other currencies? A: Yes. Rooms can be priced per room or per person with occupancy-based rates, and the automatic converter publishes the correct amount in each channel's own currency, so you maintain one price list rather than one per market. ### Booking Engine Page: https://www.hmsflow.com/booking-engine Turn your own website into your best sales channel with a fast, mobile-friendly booking engine that takes commission-free direct reservations and secure online payments. - Mobile-friendly booking widget embedded on your own site - Zero commission on every direct booking - Promo codes, packages, extras and upsells - Secure online payments and deposit collection - Multi-currency and multi-language support - Real-time availability pulled from your PMS - Custom design that matches your brand - Abandoned-booking recovery and conversion analytics We take no commission on your online reservations: HMS Flow charges no commission, percentage or per-booking fee on any reservation made through your booking engine. Whatever the guest pays is yours, and the only cost is your fixed yearly plan. Live example (Ece Termal Otel, Pamukkale): https://pamukkale-ece-termal-otel.hmshotel.net/en What your guests see — These are real screens from the booking page of Ece Termal Otel in Pamukkale, which runs on HMS Flow — on a computer and on a phone, from choosing the dates to the booking summary. - Rooms, rates and the booking summary: Each room lists its board type with a refundable and a non-refundable price for the whole stay, and the booking summary beside it keeps the dates, guests and total in view. - Pick the dates: On a phone the calendar opens full screen: tap the day of arrival, then the day of departure. - Choose a room: Room photos, capacity and the price for the whole stay, with the cart following the guest down the page. - Check and book: The booking summary slides up with the dates, the room and the total, and a single button leads to secure checkout. - Availability calendar: Guests see at a glance which nights are free and what each night costs, before they settle on their dates. FAQ: - Q: Do you take a commission on online reservations? A: No. HMS Flow takes no commission, percentage or per-booking fee on reservations made through the booking engine — not on the room, not on the extras and not on the payment. You pay a fixed yearly price by room count, so a direct booking costs you exactly the same whether it is the first of the month or the five-hundredth. - Q: How do I put the booking engine on my website? A: Paste a short embed code into your existing site — WordPress, Wix, a custom build or anything else that lets you add HTML. The widget takes your colours, logo and fonts and adapts to the width of the page, so it reads as part of your site rather than a window borrowed from somewhere else. - Q: Can guests pay when they book? A: Yes. Collect the full amount, a percentage deposit or a card guarantee at the moment of booking through Stripe, PayPal or your bank's virtual POS. What the guest pays appears on their folio in the PMS automatically, so reception sees the balance rather than having to ask. - Q: Does it work properly on a phone? A: It is built mobile-first, because that is where most direct bookings now start. Dates, room choice, extras and payment are one continuous flow on a small screen, and the availability shown is the same live inventory the PMS holds. - Q: Can I offer promo codes, packages and extras? A: Yes. Create promo codes for returning guests or a campaign, sell packages such as half board or a spa credit, and offer extras like an airport transfer, late check-out or a bottle of wine at the payment step. Everything sold this way is posted to the guest folio. - Q: What does abandoned-booking recovery do? A: When a visitor chooses dates and a room but leaves before paying, the engine remembers the attempt and can email a reminder with a link back to the same search. Conversion analytics show where people drop out, so you can tell whether the obstacle is the price, the availability or the payment step. ### Housekeeping & Operations Page: https://www.hmsflow.com/housekeeping Coordinate room turnarounds, cleaning tasks and maintenance in real time. Staff update room status from any device — no radios, no paper lists. - Live room status: dirty, clean, inspected, out of order - Automatic task assignment by floor or attendant - Mobile updates for housekeepers from any device - Maintenance requests and out-of-order tracking - Daily arrivals, departures and stay-over task sheets - Lost & found and minibar / consumption logging - Productivity and cleaning-time reports Mobile app for this module: HMS Housekeeping (free). Housekeepers see every room in their block on one screen and change its status with a single tap. The front desk sees the room turn clean the same second, without a phone call to the floor. - Google Play: https://play.google.com/store/apps/details?id=com.hmsotel.housekeeping - App Store: https://apps.apple.com/app/id6777478556 FAQ: - Q: Do housekeepers need their own accounts? A: Yes, and they cost nothing — user accounts are unlimited on every plan. A housekeeping role shows only the room list and the task sheet, never reservations or rates, and the status is updated from the person's own phone with the free HMS Housekeeping app for Android and iOS. - Q: How does a cleaned room reach the front desk? A: Immediately. The moment a room is marked clean and then inspected it becomes sellable on the front-desk rack, so an early arrival can be checked in without anyone phoning the floor to ask whether the room is ready. - Q: Can tasks be assigned by floor or by attendant? A: Yes. Work can be distributed automatically by floor, by section or by attendant, and the daily sheet keeps departures, arrivals and stay-overs apart, so the order of the turnarounds follows the real priorities of the day. - Q: How are maintenance problems handled? A: A housekeeper raises a maintenance request from the room with a note and it goes onto the maintenance list. If the room cannot be sold in the meantime it is put out of order for a date range, which takes it out of availability on every connected channel until it returns. - Q: Are minibar and lost & found included? A: Yes. Minibar and consumption items posted from the room go straight onto the guest folio and appear on the invoice at check-out. Lost & found items are logged against the room and the date, which makes them easy to match to a guest who calls a week later. ### Guest CRM & Loyalty Page: https://www.hmsflow.com/guest-crm Build rich guest profiles, automate the pre-arrival and post-stay journey, and reward returning guests to grow loyal, direct repeat business. - Unified guest profiles with full stay and spend history - Automated pre-arrival, in-stay and post-stay emails - Loyalty tiers, points and member-only rates - Segmentation for targeted email and SMS campaigns - Review requests and satisfaction surveys - Birthday and special-occasion automations - GDPR-friendly consent and data management FAQ: - Q: What does a guest profile hold? A: Contact details, the full stay and spend history, room and rate preferences, notes left by your team on earlier visits, marketing consent and loyalty tier. Profiles are merged across bookings and channels, so a guest who once arrived through an OTA and later booked direct stays one record instead of two. - Q: Which messages can be sent automatically? A: The booking confirmation, pre-arrival directions and check-in details, a message during the stay, a thank-you with a review request after departure, and birthday or special-occasion greetings. Each message is written once per language and then sent on its own trigger, without anyone remembering to do it. - Q: How does the loyalty programme work? A: Set tiers by number of stays or total spend, award points on eligible spend and publish member-only rates that appear in the booking engine to a signed-in guest. The tier and the points sit on the profile, so reception can recognise a returning guest at check-in rather than after they leave. - Q: Can I send a campaign to part of my guest list? A: Yes. Filter guests by nationality, stay dates, room type, spend, loyalty tier or time since the last visit, then send that segment an email or SMS campaign — a winter offer to everyone who came last winter, for example, instead of to the whole database. - Q: How does it deal with data protection? A: Consent is recorded per guest and per channel, so email and SMS are kept apart, and every message carries a way to unsubscribe. A profile can be exported or erased when a guest asks, and campaigns only reach the guests who have agreed to receive them. ### HMS Rate — Rate Intelligence Page: https://www.hmsflow.com/hms-rate Shop competitor prices in real time and price every room with confidence using live market, demand, seasonality and rate-parity data. - Real-time competitor rate shopping across major OTAs - Daily rate comparison for your compset - Demand, event and seasonality signals - Rate parity monitoring across channels - Suggested pricing to protect occupancy and ADR - Historical trends and pickup analysis - Alerts when competitors move their prices FAQ: - Q: Where do the competitor prices come from? A: From live rate shopping on the major OTAs. You choose the properties in your compset and HMS Rate collects the price each one publishes for a given date and room type, so what you compare is what a guest searching today would actually be shown. - Q: How often are the rates refreshed? A: Daily across the standard horizon, and on demand when you want a fresh reading before repricing a busy date. Every collection is kept, so the daily readings build into the history and pickup analysis you can look back through later. - Q: Does HMS Rate change my prices by itself? A: No — it suggests and you decide. A suggested rate is shown for each date from your compset, demand and seasonality, and if you accept it the new price goes out to every connected channel through the channel manager in a single step. - Q: What is rate parity monitoring? A: A daily check that nobody is selling your rooms cheaper than you are. HMS Rate compares your published price across the channels and alerts you when one undercuts your direct rate, which is normally either a mark-up to correct or a conversation to have with the channel. - Q: Does it take local events into account? A: Demand, event and seasonality signals feed into the suggestion, so a trade fair, a concert or a school holiday that lifts demand around you shows up as a busier date before your own pickup would have revealed it. ## Additional modules & tools Page: https://www.hmsflow.com/features - E-Invoice & Accounting: Issue e-invoices and post purchase, sales and cash transactions, with accounting export. - Cash & Stock Tracking: Track till and petty cash, plus minibar and stock movements across every outlet. - Forecast Reports: Occupancy, revenue and pickup forecasts so you can plan staffing and pricing ahead. - Staff Reward System: Motivate your team with a built-in commission and bonus system per user. - Agency & Corporate: Manage travel-agency and corporate contracts, negotiated rates and ledgers. - Audit Trail & Logs: Full activity logs and SSL-secured access so you always know who changed what. - Guest Wi-Fi Hotspot: Branded guest Wi-Fi hotspot with a captive sign-in portal. - Mobile Apps: Run your property on the go from Android and iOS devices. ## Other products from the HMS team Page: https://www.hmsflow.com/features#hms-family - HMS POS (Restaurant & café POS): https://www.hmspos.com/ — Cloud point of sale for restaurants, cafés, bars and hotel restaurants: orders from a tablet or phone, a kitchen display, table plans, stock and recipes, a QR menu and online ordering, with an offline mode. Manage corporate and negotiated rates, company ledgers and travel-agency billing, and keep high-occupancy operations running smoothly all year round. - Highlights: Fast front desk & walk-ins; Corporate & negotiated rates; Company / travel-agency ledger; Express check-out - Typical result: −45% faster check-in City and business hotels live on speed and repeat corporate business. Check-in peaks at 18:00, check-out peaks at 08:00, and half the guests travel on a company account that expects one invoice at the end of the month. HMS Flow is built for that rhythm: one-click check-in and check-out, express departure for regulars and a full company ledger. Negotiated rates, travel-agency contracts and city ledger billing are part of the front office, not an add-on. Every corporate guest is linked to their company, every stay is posted to the right account, and finance can pull a statement per company whenever the client asks for it. Use cases: - Clear the 18:00 arrival peak: A conference brings 25 arrivals in one hour. Pre-registered guests are checked in with one click, walk-ins are added straight from the calendar, and the room rack shows which rooms housekeeping has just released. - Corporate rates and company ledgers: A consulting firm books 40 room-nights a month at a negotiated rate. Each stay is posted to the company account automatically, and one consolidated invoice goes out at month end with every stay itemised. - Express check-out for regulars: Business guests on file leave without stopping at the desk: the folio is closed, the invoice is emailed to the guest or their company, and the room drops straight into the housekeeping queue. - Numbers for the morning meeting: Occupancy, ADR, RevPAR, source of business and pickup for the next 30 days are ready at 07:00 without anyone exporting a spreadsheet, so the manager and the sales team look at the same figures. Pricing example (28-room city hotel, 21 – 30 rooms plan, €445/year): A 28-room city hotel falls in the 21 – 30 rooms plan. The price includes unlimited user accounts for reception, night shift and sales, the agency and corporate contract module, e-invoicing and the full channel manager — a busy front desk is never charged per workstation or per user. Key modules for this property type: - Hotel PMS (https://www.hmsflow.com/hotel-pms): One-click check-in and check-out, walk-ins, room moves, city ledger and 50+ reports for a busy front desk. - Channel Manager (https://www.hmsflow.com/channel-manager): Corporate and public rates kept in sync on Booking.com, Expedia and the agencies your city relies on. - HMS Rate (https://www.hmsflow.com/hms-rate): Watch competitor rates around the business district and adjust for trade fairs and conferences in time. - Housekeeping (https://www.hmsflow.com/housekeeping): Fast turnarounds: rooms released by housekeeping appear on the rack the moment they are inspected. FAQ: - Q: Can HMS Flow manage corporate contracts and negotiated rates? A: Yes. Each company or travel agency has its own contract with negotiated rates and payment terms. Guests linked to the company get their rate automatically and their stays are posted to the company ledger. - Q: How does month-end invoicing to companies work? A: Stays charged to a company account accumulate on its ledger. At month end you issue one consolidated invoice per company, itemised by guest and stay, and export it to your accounting software. - Q: Is there a day-end / night audit process? A: Yes. The day-end process posts room charges, flags no-shows and produces the daily reports the manager sees in the morning — occupancy, revenue, arrivals and departures. - Q: Can several receptionists work at the same time? A: Yes. User accounts are unlimited, with role-based permissions for reception, night shift, sales and management, and a full activity log shows who changed what and when. - Q: How fast is check-in for a pre-booked guest? A: One click. The reservation, ID details and payment method are already on file, so the receptionist confirms the room and hands over the key. With QR ID scanning, even walk-in registration takes under a minute. ### Boutique Hotels Page: https://www.hmsflow.com/boutique-hotels Turn every stay into a personal experience. Rich guest profiles, pre-arrival personalisation and curated upsells help you stand out, while a focus on commission-free direct bookings keeps more revenue in-house. - Highlights: Rich guest profiles; Pre-arrival personalisation; Upsells & experiences; Direct-booking focus - Typical result: +30% direct bookings A boutique hotel competes on character, not on price. The guest who chose you over a chain expects to be recognised on the second visit, to get the room they liked last time and to be offered the things they enjoy. That is only possible when every stay, preference and message lives in one guest profile the whole team can see. HMS Flow gives a 10-to-30-room boutique hotel the guest intelligence of a large group: a unified profile per guest, automated pre-arrival and post-stay communication, curated upsells sold before arrival and a commission-free booking engine that turns loyal guests into direct bookers. Use cases: - Recognise the returning guest: A guest books their third stay through your website. The profile shows they prefer a quiet upper-floor room, take the vegetarian breakfast and celebrated an anniversary last year — so reception assigns the right room and leaves a note before they arrive. - Sell experiences before arrival: Three days before check-in, the pre-arrival email offers a wine tasting, a late check-out and a spa slot. Guests book with one click, the extras land on the folio and the value of the stay rises without a single phone call. - Grow direct bookings: Member-only rates and promo codes for past guests make your own website the best place to book. Every direct booking is commission-free, so the margin stays in the house instead of going to an OTA. - Turn stays into reviews: After departure an automatic message thanks the guest and asks for a review on the platform you choose. Happy guests are pointed to the public review site; any complaint reaches you first, privately. Pricing example (18-room boutique hotel, 11 – 20 rooms plan, €385/year): An 18-room boutique hotel is on the 11 – 20 rooms plan — the most popular size. For that price the whole team gets unlimited user logins with role-based permissions, the full guest CRM and loyalty module and a booking engine styled to match your brand, with no commission on the direct bookings it brings in. Key modules for this property type: - Guest CRM (https://www.hmsflow.com/guest-crm): Unified guest profiles, preference notes, loyalty tiers and automated pre-arrival and post-stay messages. - Booking Engine (https://www.hmsflow.com/booking-engine): A booking engine designed around your brand, with member rates, packages and upsells — zero commission. - Hotel PMS (https://www.hmsflow.com/hotel-pms): Room assignment by preference, folio extras and one-click check-in that keeps the welcome personal. - HMS Rate (https://www.hmsflow.com/hms-rate): See how nearby boutique properties price each night and protect your ADR without guessing. FAQ: - Q: How does HMS Flow help a boutique hotel personalise stays? A: Every guest has a single profile with stay history, spend, preferences and notes. When a booking arrives from any channel it is matched to that profile, so reception sees the preferences before check-in and the pre-arrival email can be tailored automatically. - Q: Can we sell upsells and experiences before the guest arrives? A: Yes. Extras such as dinners, tastings, transfers or late check-out are offered on the booking engine and in the pre-arrival email. Whatever the guest chooses is added to the reservation and the folio automatically. - Q: Can the booking engine match our brand? A: Yes. The booking engine is styled with your colours, fonts and photos and embedded on your own website, so guests never feel they have left your site. It supports multiple languages and currencies. - Q: Is there a loyalty programme for repeat guests? A: Yes. You can define loyalty tiers, points and member-only rates, and segment guests for targeted email or SMS campaigns — for example, everyone who stayed in spring last year. - Q: Can a small team manage all of this without extra staff? A: That is the point. Pre-arrival, in-stay and post-stay messages run on schedule without anyone sending them, and the whole team works from one calendar, so a boutique hotel gets the service depth of a larger property without a larger payroll. ### Resorts & Spa Page: https://www.hmsflow.com/resorts-spa Handle board plans, seasonal rates and on-site extras with ease. Sell spa treatments, activities and packages, manage long stays, and give guests a seamless experience from booking through to checkout. - Highlights: Board plans (BB, HB, AI); Packages & seasonal rates; Spa & activity extras; Long-stay handling - Typical result: +22% upsell revenue A resort sells a stay, not just a room. Board plans, seasonal rate calendars, packages that bundle spa treatments and activities, and long stays with weekly pricing all have to sit inside the same reservation — and then be sold consistently on every channel. HMS Flow models all of it natively rather than with workarounds. Rates are built per season and per board type, extras such as massages, excursions and dinner reservations are posted to the folio as they are consumed, and the channel manager pushes the right price for each board plan to Booking.com, Expedia and your tour-operator partners. Use cases: - Board plans on every channel: The same room sells as room-only, bed & breakfast, half board or all-inclusive. Each plan has its own price per season, and the channel manager sends every combination to the OTAs so guests book exactly what they will receive. - Seasonal rate calendars: High season, shoulder season, festive weeks and low season each get their own rates, minimum stays and stop-sell rules — set once for the year and applied everywhere automatically. - Spa and activity extras: A guest books a massage and a boat trip at reception; both are posted to the folio immediately, so the departure bill is complete and nothing is forgotten in the checkout rush. - Groups and long stays: A wedding party of 30 rooms and a family staying three weeks are handled from the same calendar: group blocks with a shared folio for the organiser, and weekly rates for the long stay with housekeeping scheduled to match. Pricing example (45-room resort, 41 – 50 rooms plan, €565/year): A 45-room resort is on the 41 – 50 rooms plan. The price covers unlimited users across reception, spa, restaurant and housekeeping, board-plan and package management, the channel manager and the booking engine. Resorts with more than 50 rooms or several properties receive a custom quote. Key modules for this property type: - Hotel PMS (https://www.hmsflow.com/hotel-pms): Board plans, packages, seasonal rates, folio extras and group blocks in one reservation calendar. - Channel Manager (https://www.hmsflow.com/channel-manager): Every board plan and season priced correctly on Booking.com, Expedia, Agoda and tour-operator channels. - Booking Engine (https://www.hmsflow.com/booking-engine): Sell packages and extras on your own website, commission-free, with deposits collected online. - Housekeeping (https://www.hmsflow.com/housekeeping): Plan turnarounds and linen changes for long stays and see every block or villa on one status board. FAQ: - Q: Can HMS Flow handle board plans such as half board and all-inclusive? A: Yes. Board plans are rate types on each room, each with its own price per season. Guests choose the plan when booking on any channel, and it is shown on the reservation, the folio and the daily arrivals report. - Q: How are seasonal rates managed? A: You define the seasons for the year — their dates, prices per room and board plan, minimum stays and stop-sells — and HMS Flow applies them automatically on the booking engine and on every connected OTA. - Q: Can we sell spa treatments and activities? A: Yes. Treatments, excursions, transfers and dinners are set up as extras. They can be sold at booking time, added at reception or during the stay, and every item is posted to the guest folio for one final bill. - Q: Do you support tour-operator and travel-agency contracts? A: Yes. Travel-agency and tour-operator contracts with negotiated rates are managed in the agency module, and their bookings are posted to the agency ledger for periodic invoicing. - Q: Is HMS Flow suitable for a resort with several buildings or villas? A: Yes. Buildings, blocks and villas are organised as room categories on one calendar, and groups with several resorts can manage all of them from a single dashboard with consolidated reporting. ### Hostels Page: https://www.hmsflow.com/hostels Sell beds and dorms as easily as private rooms. Mixed dorm and private inventory, group and backpacker bookings and self check-in options make managing a busy hostel effortless. - Highlights: Bed-level & dorm inventory; Mixed dorm / private sales; Group & backpacker bookings; Self check-in ready - Typical result: 100% bed-level control A hostel sells two kinds of inventory at once: beds in shared dorms and whole private rooms. Most hotel software only understands the second, which is why so many hostels end up running their dorms in a spreadsheet next to the PMS. HMS Flow keeps beds and rooms in one live inventory, so a six-bed mixed dorm, a female-only dorm and a private double all sit on the same calendar and sell through the same channels. Because every bed is tracked individually, the availability shown on Booking.com, Airbnb and your own booking engine always matches what is really free. Dorm beds are priced per bed, private rooms per room, and a group booking blocks exactly the beds it needs — nothing more. Use cases: - Mixed dorm and private inventory: Set up a 6-bed mixed dorm, a 4-bed female dorm and three private rooms as separate room types. Each dorm bed is its own sellable unit, each private room sells as a whole, and both appear on the same drag-and-drop calendar. - Group and backpacker bookings: A tour group of 14 arrives on the same day. Create one group booking that blocks the exact beds across two dorms, keep a single folio for the organiser and still register every guest individually at check-in. - Per-bed pricing by season: Price a dorm bed at one rate in low season and another in festival week, add a minimum stay for the busiest nights, and push the change to every channel in one click — no editing each OTA by hand. - Fast check-in for a full bus: Guests send their registration details before arrival and IDs are captured with a QR scan at the desk, so a queue of backpackers who all got off the same bus is checked in within minutes. Pricing example (12-room hostel, 11 – 20 rooms plan, €385/year): Counting each dorm and each private room as one room, a hostel with 8 dorms and 4 private rooms is a 12-room property and falls in the 11 – 20 rooms plan. The price covers the PMS, channel manager, booking engine and guest CRM for the whole year — there is no per-bed surcharge and no commission on direct bookings. Key modules for this property type: - Hotel PMS (https://www.hmsflow.com/hotel-pms): Bed-level calendar, group bookings with shared folios and QR ID registration for a fast check-in queue. - Channel Manager (https://www.hmsflow.com/channel-manager): Sell dorm beds and private rooms on Booking.com, Airbnb and 40+ channels from one pooled inventory. - Booking Engine (https://www.hmsflow.com/booking-engine): Take commission-free bed and room bookings from your own site, with promo codes for longer stays. - Guest CRM (https://www.hmsflow.com/guest-crm): Keep backpacker profiles, send directions before arrival and ask for a review after departure automatically. FAQ: - Q: Can HMS Flow sell individual beds in a dorm? A: Yes. Each dorm is set up as a room type whose units are beds, so a 6-bed dorm has six sellable units. Availability is reduced bed by bed on every connected channel, while private rooms are sold as whole rooms in the same calendar. - Q: How is a hostel priced — per bed or per room? A: Per room. Every dorm counts as one room whatever its number of beds, and each private room counts as one. A hostel with 8 dorms and 4 private rooms is therefore a 12-room property on the 11 – 20 rooms plan. - Q: Can I handle group bookings for tour groups and school trips? A: Yes. A group booking blocks the required beds across one or more dorms under a single reservation, with one folio for the organiser and individual guest registration at check-in. Deposits and balance payments are tracked on the group folio. - Q: Does it work with female-only or mixed dorms? A: You can create as many dorm types as you need — mixed, female-only, male-only, with 4, 6, 8 or more beds — each with its own rates and restrictions. They are sold as separate room types on every channel and on your booking engine. - Q: Do backpackers have to queue at reception? A: Not for long. Guests can send their registration details before arrival, ID documents are captured with a QR scan and check-in takes one click, so even a full dorm arriving from the same bus is processed in minutes. ### Guesthouses & B&Bs Page: https://www.hmsflow.com/guesthouses-bnb Everything a small property needs and nothing it does not. A simple daily overview, commission-free direct bookings and a system that runs on any device — no IT skills required. - Highlights: Simple, affordable setup; Commission-free direct bookings; One-screen daily overview; Runs on any device - Typical result: 1 hr to get started Most guesthouses and B&Bs are run by one person or one family who also cook the breakfast, answer the phone and change the beds. Software has to fit around that day, not add to it. HMS Flow puts arrivals, departures, room status and open balances on one screen you can read in ten seconds from your phone. There is nothing to install and no training course. Add your rooms, set your prices and connect the channels you already sell on. From then on a booking from Booking.com or Airbnb lands in your calendar by itself, availability updates everywhere and the guest receives a confirmation without you touching anything. Use cases: - The one-screen morning check: Before breakfast, open the dashboard on your phone: who leaves today, who arrives, which rooms need cleaning and which balances are still open. Everything else can wait until the coffee is served. - Never a double booking again: Sell the same 8 rooms on Booking.com, Airbnb, Expedia and your own website. When a room sells on one, the others update within seconds, so you stop blocking dates by hand and stop apologising for overbookings. - Direct bookings from your own site: Add the booking widget to your website. Returning guests book directly, pay a deposit online and you keep the full amount instead of handing a commission to a booking site. - Guest messages that send themselves: A confirmation on booking, directions and check-in time three days before arrival, a thank-you and review request after departure — written once, sent every time. Pricing example (8-room guesthouse, 1 – 10 rooms plan, €325/year): An 8-room guesthouse is on the smallest plan. The price covers the complete platform — PMS, channel manager, booking engine, housekeeping and guest CRM — for one property for a whole year, with no setup fee and no commission on direct bookings. If you grow past 10 rooms, you simply move up one plan. Key modules for this property type: - Hotel PMS (https://www.hmsflow.com/hotel-pms): A colour-coded calendar, one-click check-in and simple invoices — everything a small front desk needs, nothing it does not. - Channel Manager (https://www.hmsflow.com/channel-manager): Keep Booking.com, Airbnb and Expedia in sync automatically so you never block dates by hand again. - Booking Engine (https://www.hmsflow.com/booking-engine): Take commission-free bookings and deposits from your own website, on any phone or laptop. - Guest CRM (https://www.hmsflow.com/guest-crm): Send confirmations, directions and review requests automatically and greet returning guests by name. FAQ: - Q: Do I need any IT knowledge to run HMS Flow? A: No. It runs in a web browser on the laptop, tablet or phone you already own. Setup is a guided session with our team, and the daily screens are designed for owners who have never used hotel software before. - Q: How long does it take to get a small property started? A: Usually one session. We add your rooms and rates, connect your existing channels and walk you through the daily routine. Most guesthouses receive their first synced booking the same day. - Q: Can I still take phone and walk-in bookings? A: Of course. Type them straight into the calendar and availability updates on every channel immediately, so a phone booking never clashes with an online one. - Q: Does it handle breakfast and other extras? A: Yes. Breakfast, airport transfers, late check-out or a bottle of wine can be added to any reservation as extras, and they appear on the invoice automatically. - Q: What happens if my internet connection goes down? A: Because HMS Flow is cloud-based, your data never sits on a single device. Open it on your phone over mobile data until the connection returns; bookings from your channels keep arriving in the meantime. ### Apart Hotels & Villas Page: https://www.hmsflow.com/apart-hotels-villas Run multi-unit and extended-stay rentals without the chaos. Weekly and monthly rates, owner statements and keyless self check-in keep apart hotels and villa portfolios perfectly organised. - Highlights: Multi-unit management; Weekly & monthly rates; Owner statements; Keyless / self check-in - Typical result: multi unit management Apart hotels and villa portfolios do not behave like hotels. Stays are measured in weeks, not nights; prices are weekly or monthly; the same unit may belong to an owner who expects a statement; and guests often arrive when nobody is at a desk. HMS Flow is built for that mix of hotel operations and rental management. Each apartment or villa is a unit with its own calendar, rates and cleaning cycle. Weekly and monthly rates, owner statements and self check-in come as standard, and the channel manager keeps Airbnb, Booking.com and your own booking engine selling from one availability. Use cases: - Arrival without a reception desk: A family lands at 23:00. They completed registration online, received their access details with the pre-arrival message and let themselves in. The team sees the check-in on the calendar the next morning. - Weekly and monthly rates: A 3-night stay is priced per night, a 2-week stay at the weekly rate and a 3-month corporate let at the monthly rate — automatically, from one rate plan, on every channel that supports long stays. - Owner statements: Each unit is linked to its owner. At month end, HMS Flow produces a statement per owner showing bookings, revenue and any cleaning or management fees, ready to send. - Cleaning cycles for long stays: Turnover cleaning on departure, a mid-stay clean every seven days and linen changes are scheduled for each unit, and the cleaners tick them off from a phone. Pricing example (15-unit apart hotel, 11 – 20 rooms plan, €385/year): A portfolio of 15 apartments or villas counts as 15 rooms and is on the 11 – 20 rooms plan. That includes multi-unit management, weekly and monthly rates, owner statements, the channel manager and the booking engine for one property for the year. Units spread across several locations can be run as a multi-property group — contact us for a quote. Key modules for this property type: - Hotel PMS (https://www.hmsflow.com/hotel-pms): Unit calendars, weekly and monthly rates, owner statements and long-stay folios in one place. - Channel Manager (https://www.hmsflow.com/channel-manager): Airbnb, Booking.com and Expedia synced from one availability, including long-stay restrictions. - Booking Engine (https://www.hmsflow.com/booking-engine): Take direct bookings for weeks or months with deposits, without paying a platform commission. - Housekeeping (https://www.hmsflow.com/housekeeping): Turnover and mid-stay cleaning tasks per unit, updated by the cleaners from a phone. FAQ: - Q: Can HMS Flow manage villas in different locations? A: Yes. Each unit has its own calendar, rates and cleaning schedule. Units at one location are managed as one property; several locations can be grouped as a multi-property account with a consolidated dashboard. - Q: How do weekly and monthly rates work? A: You set nightly, weekly and monthly prices on the rate plan. HMS Flow applies the right one based on the length of stay, on the booking engine and on every channel that supports long-stay pricing. - Q: Do owners get their own statements? A: Yes. Each unit is linked to its owner. Owner statements list bookings, revenue and any fees for the period and can be produced monthly or on demand. - Q: Is self check-in supported? A: Yes. Guests register online before arrival and receive their check-in instructions and access details automatically, so nobody has to wait for a key handover at a desk. - Q: Does it work with Airbnb? A: Yes. Airbnb is one of the two-way connected channels: listings are mapped to your units, bookings land in the calendar automatically and Airbnb availability is updated the moment a unit sells elsewhere. ## Integrations Page: https://www.hmsflow.com/integrations ### OTA & Channels - Booking.com: Two-way sync of rates, availability and reservations in real time. - Expedia: Distribute inventory across the full Expedia Group network. - Airbnb: List rooms and units and receive bookings straight into your PMS. - Agoda: Reach Asia-Pacific travellers with synced pricing and stock. - Hotels.com: Automatic mapping of rooms and rates with no double entry. - Hotelbeds: Reach agencies and wholesalers worldwide through the Hotelbeds bedbank. - Ctrip / Trip.com: Reach travellers from China and across Asia on Ctrip and Trip.com with two-way sync. - Ostrovok: Reach Russian-speaking travellers on Ostrovok with synced rates and availability. ### Metasearch - Google Hotel Ads: Show live rates on Google and capture more direct bookings. - TripAdvisor: Connect reviews and metasearch visibility to drive demand. ### Payments - Stripe: Collect deposits and payments securely from the booking engine. - PayPal: Offer guests a familiar, trusted online checkout option. ### Email delivery - SendGrid: Send reservation confirmations and guest emails through your SendGrid account. - UseInbox: Deliver the property's emails through your UseInbox account. - Mailchimp: Send guest emails through your Mailchimp account. - Brevo: Send confirmations and guest emails through your Brevo account, formerly Sendinblue. - SMTP: Use any mail server over SMTP, such as your own domain's or your hosting provider's. - Gmail: Send emails from the property's own Gmail address. ### SMS delivery - Netgsm: Send reservation confirmations and guest SMS messages through your Netgsm account. ### Messaging - WhatsApp Business: Send confirmations and talk to guests where they already are. ### Accounting - QuickBooks: Push revenue and invoices to your accounting software. ### Developer - Zapier & API: Connect almost any app with our open REST API and webhooks. ### Website - WordPress: Add the booking engine to any WordPress site with our reservation plugin. ## Pricing Page: https://www.hmsflow.com/pricing Every plan includes the full platform; the price depends only on room count. A channel manager keeps a single, pooled inventory that is shared across every connected booking site. When a room sells on one channel, availability is instantly reduced everywhere else, so two guests can never book the same room. Rates and restrictions update in real time too. ### Which booking channels and OTAs can I connect? HMS Flow connects with the major OTAs including Booking.com, Expedia, Airbnb, Agoda and Hotels.com, as well as Google Hotel Ads and TripAdvisor for metasearch. New channels are added regularly, and our team maps everything for you during onboarding. ### Do I need to install any software or buy hardware? No. HMS Flow is fully cloud-based and runs in your web browser on any laptop, tablet or phone. There is nothing to install and no server to maintain — just log in and start managing your property. ### Is there a commission on direct bookings? Never. The built-in booking engine takes commission-free reservations directly from your own website. You only pay your regular OTA commissions on bookings that actually come through those third-party channels. ### How long does setup and onboarding take? Most properties are up and running within a few days. Our team helps you import rooms and rates, connect your channels and train your staff. For smaller properties, onboarding can often be completed in a single session. ### Is my data secure and backed up? Yes. Data is encrypted in transit and at rest, stored on secure cloud servers and backed up automatically every day. Role-based permissions let you control exactly who can access what, and our platform is built to be GDPR-friendly. ### Can I manage several properties from one account? Absolutely. Multi-property groups and hotels with 51+ rooms are priced individually — get in touch for a quote. You manage every property from a single dashboard, update rates and inventory centrally, and pull consolidated reports that compare performance across the group. ### Is there a free trial, and can I cancel anytime? Yes. You can try HMS Flow free for 14 days with no credit card required. Plans are billed annually per property and there is no long-term contract — cancel whenever you like and the unused full months are refunded on request. ## What customers say - "HMS is very user-friendly and the team is genuinely responsive.
