How it works day to day
A hostel sells two kinds of inventory at once: beds in shared dorms and whole private rooms. Most hotel software only understands the second, which is why so many hostels end up running their dorms in a spreadsheet next to the PMS. HMS Flow keeps beds and rooms in one live inventory, so a six-bed mixed dorm, a female-only dorm and a private double all sit on the same calendar and sell through the same channels.
Because every bed is tracked individually, the availability shown on Booking.com, Airbnb and your own booking engine always matches what is really free. Dorm beds are priced per bed, private rooms per room, and a group booking blocks exactly the beds it needs — nothing more.
Mixed dorm and private inventory
Set up a 6-bed mixed dorm, a 4-bed female dorm and three private rooms as separate room types. Each dorm bed is its own sellable unit, each private room sells as a whole, and both appear on the same drag-and-drop calendar.
Group and backpacker bookings
A tour group of 14 arrives on the same day. Create one group booking that blocks the exact beds across two dorms, keep a single folio for the organiser and still register every guest individually at check-in.
Per-bed pricing by season
Price a dorm bed at one rate in low season and another in festival week, add a minimum stay for the busiest nights, and push the change to every channel in one click — no editing each OTA by hand.
Fast check-in for a full bus
Guests send their registration details before arrival and IDs are captured with a QR scan at the desk, so a queue of backpackers who all got off the same bus is checked in within minutes.
What does it cost?
Counting each dorm and each private room as one room, a hostel with 8 dorms and 4 private rooms is a 12-room property and falls in the 11 – 20 rooms plan. The price covers the PMS, channel manager, booking engine and guest CRM for the whole year — there is no per-bed surcharge and no commission on direct bookings.
